Invoice considerations and display

Organise your invoicing and understand each element of the invoice list

The Plugin.ch invoicing module creates, prints, sends and tracks your invoices, including payment reminders. Invoices include the Swiss QR-bill (ISO 20022 standard). This article gives a few organisational recommendations, then explains what you see on the page Invoices → Manage invoices.

1

Practical recommendations

  • One group per invoicing: “Membership 2027”, “Licences 2027”, “Summer tennis school 2027”… To add invoices to an existing group, use Update invoices rather than creating a new group.
  • Check the linked items before invoicing (licences, camps, discounts) in Invoices → Link an item.
  • Several items per invoice: a single invoice can combine membership fee, licence, locker rental and discount.
  • Family invoices: the option Group family invoices sends a single invoice per family, to the person in charge. Payment tracking is then a little more complex.
  • Discounts and fees: an item with a negative amount grants a discount; a “Reminder fee” item can be added to an invoice.
  • Paper or e-mail: the type of each invoice can be changed at any time in the invoice (section Sending and reminders).
2

The group banner

At the top of the page, the buttons Import payments, Export to accounting and Create invoices give access to the three main operations. Below the group selection, the group banner shows its figures: Invoices, Invoiced, Received (with the proportion paid), Open, Overdue and To print / send, as well as the buttons Create reminders, Print, Send and Group.

The panel Linked articles and templates of the group lets you change the items included during refreshes and, for the ticked invoices, change the paper or e-mail text or add an item.

The columns of the list

  • Checkbox: selects the invoice for a bulk action (print, send, create reminders, extend the due date, cancel). The Quick select ticks in one click all invoices, unpaid ones, those without a reminder, at reminder 1 or 2, or with an overdue instalment.
  • Debtor, N° and Date: the person invoiced (or the family's person in charge), the invoice number and date.
  • Amount, Paid and Balance: the bar below the amount paid shows the share already settled. Paid on shows the date of full payment.
  • Status: the status of the invoice (Upcoming, Overdue, Reminder 1 sent, Collections, Paid…). Click the badge to open the file.
  • Document: the status of the document (To print, Printed, To send, Sent, Read, and the same for reminders) and the number of copies. Click the badge to print or send this document.
  • Buttons: the file (timeline, versions, lines), the pencil to edit the invoice and the bin to cancel it.

The meaning of each tracking badge is explained by the help button of the page Open invoices & reminders :

Export to accounting

The button Export to accounting opens a panel: choose the Period and the accounting software (WinBiz, Crésus, Banana, Opale or Bexio), then click Export entries. The file contains the entries for the invoices and payments of the period. If you enable Account for lines, the exported lines are marked as posted and can no longer be changed.
