Manage memberships

Create booking prices: per session or per season

Define who pays what, where and when, for each sport-season

Booking prices are defined in Memberships → Manage prices. Each price specifies the subscriptions concerned, the courts, days and times when it applies, and the amount per person for each formula (number of players × number of periods). Prices are specific to each sport-season.

Important: a slot for which no price matches is free. Remember to cover members and also non-members and guests, then check the result with the Rate grid.

1

Open the list of prices

In the left side menu, open Memberships then click Manage prices. Choose the sport-season in the list above the table: these are the sport-seasons open on the date in the date picker, at the top of the screen. The All (membership) and All (mode) filters appear when the list is long.

2

Name, price type and subscriptions

Click + Add a price. In the Price, choose the sport-season, enter the Name of price category (for example "Soirée", "Winter fixed hour", "Invité") and tick the subscriptions concerned under Subscription.

Two independent settings determine the calculation:

  • Type of price : For each session, the player pays for each booking; For the season, they pay once for the whole season, the typical setting for fixed hours.
  • Mode : Per booking, the amount applies to the whole booking, whatever its length; Per period, the amount is counted for each period: a 2-period booking costs twice as much as a 1-period booking.

The "Price" section of a "Soirée" rate for juniors and adult members

Examples: a winter fixed hour billed CHF 740 per player for the whole winter = For the season + Per booking. A guest rate of CHF 25 per 30-minute slot = For each session + Per period.

Where and when the price applies

In Where and when, tick the Courts and the Days (the All shortcut ticks the whole week), then enter the time range under Time. Add hours adds another time slot.

  • Validity period (optional): leave empty for a rate valid for the whole season. With two dates, the rate only applies during that period (winter rate, holidays) and there replaces the undated rate targeting the same subscriptions, courts, days and times.
  • Last minute (in minutes) (optional): the rate only applies to bookings made less than X minutes before the start, for example 120 for the last two hours.

The "Soirée" rate applies Monday to Friday from 17:00 to 22:00 on both courts

Enter the amounts

The Amounts shows one row per formula of the ticked subscriptions (Number of People × Period Number). Enter the Price for each row.

The amounts per person and the "Refunded if taken" column

If the club uses fixed hours and the wallet, the Refunded if taken column shows the amount credited to the holder of a fixed hour when the session they release is taken by someone else. The Calculate the refunds tool fills this column based on a percentage of the price; click Apply to all rows. See the article Refund a fixed-hour session that was released and taken again.

5

Save and check

Click Add a price. The price appears in the list; the pencil icon lets you edit it and the trash icon delete it. This rate is then used wherever it applies, in particular for bookings and the allocation of fixed hours (see the article Manage the set times).

Tip: then open Memberships → Rate grid to see, day by day and hour by hour, which rate applies, and to spot free or ambiguous slots.
