Issue a certificate for a member

Membership, annual summary and payment certificate from the member’s record

A member asks you for a certificate for their employer, health insurance, J+S or taxes? Members can download it themselves in the new interface (see How do I download my certificates?). You can also issue it for them from their record, in the language of your choice.

DocumentContent
Membership certificateThe member belongs to the club; date of birth, admission date if your club records it in a custom field of type date marked IN, subscriptions for the current season (excluding guest subscriptions and blocked subscriptions) and payment date of the membership fee.
Annual payment summaryInvoices fully settled between 1 January and 31 December of the chosen year, with the total, including those addressed to members of their family.
Payment certificateA fully paid invoice: its lines, the payments received and the total.

You produce exactly the same documents as the member, with the same checks: club letterhead, QR code and verification code.

1

Open the member’s record

In Members › Manage members, click the member’s last name or first name. In the History section of the record, open the Invoice record tab. The Certificates bar is above the invoice table.

To find out how to open the record from other pages, see Display a member's operational data.

2

Choose the language

Before clicking, check the Language list (Français, Deutsch, English, Italiano). It is preset to the member’s e-mail language (the one in their record); change it if the recipient needs another language. The whole PDF (titles, texts, dates) is produced in that language.

3

Issue the document

  • Membership certificate: click Membership.
  • Annual summary: choose the year in the list (the previous year is preselected), then click Annual summary.
  • Payment certificate: click the medal icon (Payment certificate) in the invoice’s action column. The icon only appears on invoices that are fully paid, not deleted and for more than 0.

The PDF is downloaded immediately; a message confirms the file name. You can print it or e-mail it to the member.

When the certificate is refused

If the document cannot be issued, no PDF is produced and an error message is displayed:

MessageWhat to do
This person is not a member of the club (removed from the members): no membership certificate can be issued. The person has been removed from the members. Reinstate them if they really are a member (see Find and reactivate a removed member). A member who is merely inactive remains a member and can receive the certificate.
This invoice is not fully paid: no payment certificate can be issued.First record the payment of the balance.
This invoice has been cancelled: no certificate can be issued.A cancelled invoice does not entitle anyone to a certificate.
This invoice amounts to 0: no payment certificate is needed.Nothing to certify.
Invoice not found. The invoice does not belong to this person in your club, or the person has no record in your club.
Invalid year. The summary accepts years from 2000 to the current year.

The annual summary and payment certificates remain possible for a person removed from the members, as long as their record exists in your club. Only the membership certificate requires them to be a member.

Check a certificate presented to you

Every issue, by the member or by an administrator, is recorded by Plugin.ch with its verification code, name, reference (invoice number, year or season), amount and date of issue. This register is what makes verification possible. There is no screen to view it.

To check a certificate, scan its QR code or open the Certificate verification page at the address printed below the code, enter the Verification code and click Verify. No account is needed: an employer or a health insurer can do the same.

An authentic certificate

  • Authentic certificate: compare the type, club, name, reference, amount and date of issue shown with the document presented. Any difference means the document has been altered.
  • Certificate not recognised: the code was entered incorrectly or does not match any authentic certificate.

The same certificate issued several times on the same day keeps the same code. Issued on another day, it receives a new code; the old ones remain verifiable.
