Grouped payments of registrations (basket)
Follow registration baskets and handle refunds
In the online interface, a family can add several registrations to a basket (several children, several lessons) and pay for them in one go, online or by invoice. The Grouped payments page lets you follow these baskets.
1Open the page
In the side menu, open Lessons, then Grouped payments. Four counters sum up the situation: To sort out, Baskets paid online (with the amount), Invoiced baskets and Unfinished payments. The filters To sort out, Paid online, Invoiced later, Unfinished and All filter the list; their number shows how many baskets they contain. Clicking a counter selects the matching filter.
The counters, filters, search box and drop-down lists at the top of the page.
When some baskets need sorting out, the page opens directly on the filter To sort out. The list covers the baskets of the last 13 months.
The link Grouped payments only appears in the menu if your club has received at least one basket, paid online or invoiced later, in the last 13 months. It appears automatically with the first grouped enrolment.
2Finding a basket
With hundreds of baskets, use the bar above the list:
- The search box finds a basket by the payer's name or e-mail address, the name of an enrolled child, the course, the price, the payment reference, the basket number or the invoice number. You can combine several words: “smith winter” shows the baskets that contain both. Accents and capital letters do not matter.
- All courses: only shows the baskets that contain an enrolment in the chosen course. The number in brackets is the number of enrolments.
- All dates: limits the list to the last 7, 30, 90 or 180 days.
- All payment methods : Online payment or Invoiced later.
- The sort order: Newest first, Oldest first or Highest amount first.
A search on the family name, limited to the last 90 days.
Below the bar, a line shows the number of baskets found and their total amount. The link Clear filters brings back the full list. The status filters combine with the search and the drop-down lists, and their numbers are updated.
Baskets are shown 25 at a time: the button at the bottom of the list shows the next ones.
The course, period and payment method choices and the sort order are remembered on your computer: you will find them again on your next visit. The search box, however, starts empty.
3Export the list
The button Export (CSV) downloads a file that opens in Excel. It contains one line per enrolment: basket number, date, payer and e-mail, payment method, provider, reference, enrolled person, course, price, amount, status, amount refunded and invoice number.
The export includes all the baskets that match the current status filter, search and drop-down lists, including those not yet shown on screen.
4Reading a basket
Each basket shows its number, date, payer, payment method (online payment with the provider and the reference, or invoiced later) and status. Each line gives the registered person, the lesson and the rate, the amount, the status (for example Registered and paid or Registered (invoiced)) and the amount already refunded. The Log link shows how the basket was processed.
5Handling lines to sort out
A line paid online but not registered (lesson full in the meantime, person already registered…) moves to To sort out. Nothing is refunded automatically: it is up to you to decide. Depending on the case, the buttons offer:
- Refund: opens the refund panel;
- Retry recording on the invoice: retries recording the payment on the invoice;
- Mark as settled: the situation was settled another way (manual registration, arrangement with the family);
- Check the payment with Stripe: for a Stripe payment whose confirmation did not arrive.
6Refund a registration
In the Refund a registration panel, enter the Amount to be refunded (a partial refund is possible), then choose:
- Refund via the provider: the money goes back to the payer's means of payment;
- Already refunded outside Plugin (bank transfer, provider's back office): the refund is only recorded.
The refund panel.
The invoice carrying the payment is not changed automatically: adjust it if the lesson is no longer due, and remove the registration in Manage registrations if the person no longer attends the lesson.
On the member side, the basket is described in Sign up for a tennis lesson.
