Refund a fixed-hour session that was released and taken again
The holder of a fixed hour cannot always play. If they release a session and someone else takes it, the club can refund part of that session to their wallet. The amount is set price by price, and the credit is then fully automatic.
Prerequisite: the club must use both the fixed hours module and the digital wallet (switches User the set hours module and Use electronic purse, to be turned on in Parameters → Manage parameters). Otherwise the refund column does not appear.
1. Set the refunded amount in the prices
In the left-hand menu, open Memberships → Manage prices, and open the rate used by your fixed hours (pencil). In the amounts section, a column “Refunded if taken” column appears next to the price of each option (number of players × number of periods).
- The amount is credited to the holder per session taken again.
- It is expressed in the same unit as the price box: per period and per player.
- An empty box means: no refund for this option.
Below the table, the Calculate the refunds tool fills in all the boxes at once: enter the percentage of the price (50% by default), then click Apply to all rows. For a season rate, a "÷ sessions" field is added (30 sessions by default): the amount proposed is then the season price divided by the number of sessions, multiplied by the chosen percentage. An example calculated on the first row is shown alongside.
Example: winter fixed hour at CHF 740 per player for 30 sessions, 50 % refund ⇒ 740 ÷ 30 × 50 % ≈ CHF 12.35 per session taken again.
Because a price depends on days, times and courts, the refund automatically follows the price of the hour played (off-peak or peak). A fixed hour that straddles two prices is refunded period by period, each according to its own price.
2. What the member sees
In the schedule, the holder clicks their fixed-hour session. The “Release the session” button replaces the delete button, and a line tells them the amount they will receive if someone takes the session. A confirmation reminds them of this amount before the slot is released; it then becomes bookable by other players again.
3. The refund rules
- The credit is paid only into the wallet, never to a card: fixed hours are paid by invoice.
- The holder must have paid their fixed-hour invoice.
- Only the periods actually taken again are refunded. Example: a fixed hour of 2 × 30 minutes where only the second half-hour is taken ⇒ only the amount for the second period is credited.
- The credit is made after the session has ended: a takeover cancelled at the last minute earns nothing.
- There is no minimum notice for releasing a session.
- A session deleted by an administrator also counts as released.
- If the holder takes the slot back themselves, it counts as a takeover.
- If the fixed hour has several players, each receives their share according to their own price.
- Editing a session (for example changing partner) is not a release.
Each credit appears in the member's wallet history with the label “Fixed hour of <date> at <time> released and taken again”.
To set up the fixed hours themselves, see the article Manage the set times.
