Manage courts
Close courts
Close a court for rain, maintenance, a tournament or watering, with a reason visible to members
To close one or more courts in case of rain, during maintenance, a tournament or watering, use the page Court closures. During a closure, members see the reason in the schedule slot and cannot book. The administration can still book a closed court.
Closure or recurrence? A closure shuts the court to members without creating a booking. A recurrence creates real bookings in the schedule (interclub matches, training, tennis school): see the article Manage recurrences.
Show the list of closures
In the left side menu, open Reservations then click Court closures. The list shows ongoing and upcoming closures; a closure whose end date has passed no longer appears.
Two upcoming closures, released to members 3 h before: Saturday's rain and the court kept for the school
- Reason: the text shown to members, with the name of the person who created the closure.
- Dates, Times and Days: the period of the closure, the time range (or “All day”) and the days concerned (“Every day” for a date or period).
- Courts: the closed courts.
The All, Ongoing and Upcoming chips filter the list; the Search… field helps you find a closure.
Close courts
Click Close courts, at the top right, and fill in the panel:
- Courts: tick the courts to close. All the club's courts are offered, for all sports.
- When: choose Date or period to close every day between the two dates (for a single day, enter the same date twice), or Recurring to close only the days ticked in Days, between the two dates. Then fill in From and To.
- Times: turn on All day, or enter the time range (From … to …).
- Release to members automatically (optional): turn on this option and choose a delay (from 1 h before to 2 day(s) before). Each blocked slot then becomes bookable by members again this long before it starts. Without this option, the closure stays in place until you delete it.
- Reason: click a quick choice (Rain, Maintenance, Tournament, Lesson, Watering, Closed) or type your own text (120 characters at most). It is shown to members in the schedule slot.
- Notify the players of the affected bookings (push + e-mail): if upcoming bookings are already under the closure, their players receive a notification on their phone and an e-mail with the reason. The option is on by default for a new closure and off when you edit an existing closure.
Example: court Sp3 kept for the school on Tuesday and Thursday from 14:00 to 18:00, released to members 3 h before
Click Save. The message “Closure saved” appears and the list is updated.
A closure lasts 2 years at most. In Recurring mode, at least one of the ticked days must fall within the chosen period.
Existing bookings: a closure does not delete, cancel or refund any booking. If bookings already exist on these slots, the message shows how many, for example "2 existing booking(s) under this closure: they are kept (move or cancel them if needed)." If you asked to notify the players, the message also shows how many people were notified. Move or cancel these bookings from the planning if needed.
A closure only applies to the ticked courts. If a court shares its surface with others (hybrid court), tick the linked courts too.
What members see
In the members' schedule, closed slots form a grey box showing the reason. On hover, a tooltip shows the time range, for example “Court blocked: Maintenance (10:00 – 13:00)”. The box cannot be clicked.
A member's planning: both courts closed for rain, bookable from 14:00; the 21:00 booking is kept
If a member tries to book a closed slot (for example because the closure was added while they were booking), the booking is refused with the message “Court blocked by the club for this time slot” followed by the reason.
A booking that existed before the closure stays visible in its box, with an orange badge showing the reason (for example "⚠ Rain"). On hover, a tooltip says: "Closed by the club: Rain. The booking is kept, the club will keep you informed." Its holder can still edit it (the players, for example), but cannot extend it onto the closed slots.
If the closure has an automatic release, the closed box also shows, under the reason, the time from which the slot can be booked again (for example an open padlock and "15:00"). On hover: "Bookable by members from 15:00". After that time, the box becomes a normal free box again.
In the administration schedule
The administration is never blocked. In Reservations → Manage bookings, closed slots are hatched and the reason appears on the first slot. Above each sport's grid, the box Courts closed today (for members) lists the day's closures, with a button to edit or delete each one and the link Manage closures. A closure with automatic release shows "Released to members 3 h before" there (depending on the chosen delay); slots already released to members are no longer hatched.
You can click a closed slot and book as usual. The booking form then shows a reminder: “Court closed to members: … You can still book.” See the article Managing bookings in the schedule.
Edit or delete a closure
In the list, click the pencil icon on the row: the Edit closure panel opens with the same fields. Change what you need, then click Save.
Editing an existing closure
To reopen the courts earlier, click the bin icon and confirm: members can book these slots again. The confirmation offers the box Notify the players whose booking was under this closure that the court is open again (push + e-mail), ticked by default. The same buttons are in the box of the day planning.
Delete a closure and notify the players concerned
Examples: rain and the tennis school
It is raining: close the outdoor courts
- Close the outdoor courts for the day (or the time range concerned) with the reason Rain and leave Notify the players on: players who had already booked are notified, their bookings stay in place.
- The rain stops: delete the closure (or shorten its time range) and leave the confirmation box ticked. The players concerned learn that the court is open again, and the other members can book again.
Keep an indoor court for the tennis school in case of rain
The tennis school teaches outdoors but must be able to move indoors if it rains. Close the indoor court during lesson times (mode Recurring, lesson days ticked), with a reason such as "Reserved for school (rain)" and the option Release to members automatically set to 3 h before.
- If it rains, book the indoor court for the school before this delay: the administration can always book on a closed court.
- If the weather is fine, you have nothing to do: each slot automatically becomes bookable by members again 3 hours before it starts.
Release happens slot by slot: with a closure from 14:00 to 18:00 and a 3 h delay, the 14:00 slot opens at 11:00, the 15:00 slot at 12:00, and so on. A member can therefore only book slots that have already been released.
