Configure EBICS: connect Plugin.ch to your bank
Fetch QR payments and bank statements every day without manual import
EBICS is the secure protocol Swiss banks offer for exchanging files with software. Once the connection is set up, Plugin.ch downloads every morning the payment notifications for your QR-bills (camt.054) and, if you keep the general ledger in Plugin.ch, the account statements (camt.053). Paid invoices are marked as such without you having to import any file.
In the left-hand side menu, click Parameters, then Use EBICS. This menu is only visible if the invoicing module is active (see the article Manage invoicing).
Before you start: ask your bank for an EBICS contract (often called a “software connection contract” or “EBICS for third-party software”) that allows downloading camt.054 and camt.053 files. The bank gives you the connection parameters.
Enter the bank's parameters
Turn on the switch Use the EBICS connection module. In the section Bank connection, copy exactly the values provided by your bank:
- EBICS Host ID: the identifier of the bank's EBICS server;
- Partner ID (Often the same as user ID): the identifier of your contract;
- EBICS URL: the address of the bank's EBICS server;
- User ID: the identifier of the contract's user.
EBICS parameters (fictitious values) and automatic statements
Click Save in the bottom bar.
Warning: these identifiers give access to your bank account data. Only share them with the people who manage the connection and never send them by unsecured e-mail.
Initialise the keys and send the letter to the bank
Once the parameters are saved, the Initialize parameters button appears below the fields. The procedure is done only once:
- Click Initialize parameters: Plugin.ch creates the club's security keys and sends them to the bank. A message confirms that the initialisation went well.
- Click Create the letter for the bank: the initialisation letter opens in a new tab. Print it, have it signed by the club's authorised signatories and send it to your bank.
- Once the bank has activated access, click Update public keys to retrieve the bank's keys. The connection is then ready to use.
After initialisation, the page only shows the buttons Update public keys and Create the letter for the bank, which you can use again if the bank asks you to.
Enable the automatic statements
The Automatic statements section offers two options, each charged CHF 50 per year:
- Automated retrieval of camt.054 files (50 CHF per year): every morning, Plugin.ch retrieves the payments received on your QR-bills and records them on the corresponding invoices. A daily report is sent to the addresses in the field Email used for sending the daily report of Camt.054 (multiple separated by , ).
- Automated retrieval of camt.053 files (50 CHF per year): only visible if you use the general ledger. Plugin.ch retrieves the full account statement and creates the accounting entries from it; a report is sent to the addresses in the corresponding field. In Transit account if breakdown is not possible, choose the account for the transactions that Plugin.ch cannot allocate; you will then reclassify them by hand.
Separate several e-mail addresses with a comma, then click Save.
Tip: for payments to be recognised automatically, your invoices must be sent with a QR-bill with reference (QR-IBAN entered in Manage invoicing). Without EBICS, you can still import the bank's files by hand: see the article Processing via bank files.
