Manage the set times

A fixed hour is a weekly slot booked for the same player over a whole period (e.g. the winter) — the equivalent of a slot subscription, invoiced in one go.

Before you start: the fixed hours module must be enabled in the club settings (see below). Make sure that a “Per season” is defined for members and non-members (see the article Create booking prices: per session or per season) and that the invoicing item exists (see Create an item).

To enable the module, open Parameters → Manage parameters and turn on the User the set hours module.

1. Open the page and check the settings

In the left-hand menu, open Reservations → Manage the set times and expand the sport-season. The page shows the sport-seasons of the date chosen in the date picker at the top of the screen: to prepare the winter, go to a date in the winter season.

The Validation and invoicing card contains the settings used when invoicing. They are saved on every change:

  • Period of set times: the start and end dates (e.g. 26.10 → 12.04 for winter);
  • Colour of set times: the display colour in the schedule;
  • Invoice directly with the item: the item used for invoicing (e.g. "Fixed hour");
  • Type of price : For each session or For the season ;
  • Valid on special days : Yes or No.
Fixed hours overview and validation settings

Above, the Fixed hours overview card shows the status of each fixed hour of the season: Not validated, To invoice, Invoiced, unpaid, Paid (and, if any, the partly paid, free or to-check hours). Click a tile or See the list to display the matching fixed hours.

2. Go to the correct weekday

In the date picker, choose a day on the weekday you want — the day of the month does not matter: for Tuesday fixed hours, any Tuesday will do. The grid then shows the slots for that weekday.

The slots already taken by a recurrence (school, lesson, block…) are hatched: do not place a fixed hour there. The Show recurrences switch hides or shows them, and the New recurrence button (or dragging across several cells) creates a recurrence over the fixed hours period.

3. Add a fixed hour

  1. Click the start time of the slot, on the court you want.
  2. In For whom?, type at least two letters of the name and choose the player.
  3. The New set time panel sums up the day, time and court. Choose the number of people and complete the players: each one appears with their membership and the price that will be invoiced to them, then the total for the season or per session.
  4. Click Add set time.

Check the price shown next to each player. If it is empty or wrong, first correct the rate in Memberships → Manage prices.

The fixed hour appears in the grid, in the chosen colour, marked Not validated: it is visible every week in the schedule but not yet invoiced. Repeat the operation for each slot to assign.

4. Validate and invoice

Once all the fixed hours are in place, click on Confirm times and invoice: the bookings are generated over the whole period and the chosen item is charged to each player for invoicing.

  • If fixed hours fall on slots already taken by a recurrence, Plugin lists them before validating. On those days, the fixed-hour booking will not be created, but the invoice will still count every week: move the fixed hour, shorten the period or remove the recurrence, or choose Validate anyway.
  • A player who is no longer a member of the club is flagged: their fixed hour is neither validated nor invoiced. Correct it, then run the validation again.

The button Validated fixed hours without invoice button lists the validated fixed hours for which no invoice was found, to check the invoicing.

5. View or delete a fixed hour

Click a fixed hour in the grid: a panel shows its players, its status (not validated, invoiced, paid…) and its invoice. The Delete this fixed hour button removes it from the schedule; if its invoice is not paid, the line is also removed from the invoice.

Fixed hour details

To tidy up at the end of the season, See the list shows all the fixed hours, with a search by player or court and filters by status. The Delete unpaid button removes in one go the fixed hours that are invoiced but not paid. Paid or partly paid hours, or those whose invoice was cancelled, are never touched.

To refund the holder, via their wallet, a session they release and someone else takes, see Refund a fixed-hour session that was released and taken again. To carry over last winter's fixed hours, see Open the winter season by copying last season.
