Manage Swiss Tennis licenses

Order, activate and invoice your members' competition licences

1

Open the page

The page is available if your club is linked to Swiss Tennis. In the left-hand menu, open Members › Manage Swiss Tennis licenses. The list shows the licences of the club's members: last name, first name, License No., License Status (current season) and Next Season Status.

Checking the status of the Swiss Tennis application

The box Swiss Tennis application shows what can be done at the moment:

  • Normal operation: a new licence is active immediately; a suspended or deleted licence can be reactivated, and the next-season status follows automatically.
  • Yearly update: you choose each licence's status for next season, and you can order a licence for right now or for next season. An active licence of the current season can no longer be suspended or deleted; a suspended, deleted or active-next-season licence can still be activated immediately.
  • Locked: changes are closed (usually until about 20 March); no licence can be created or modified.

If Swiss Tennis does not respond, the page stays read-only as a precaution.

Ordering a new licence

Click Create a licence. In the panel New Swiss Tennis licence :

  1. tick the confirmation for Data protection: you confirm that you have informed the members that their data is sent to Swiss Tennis;
  2. choose the Person: only people without a licence, with a date of birth and aged 10 to 95 are offered;
  3. choose the starting Ranking (R9 = beginner);
  4. during the yearly update, choose Activate immediately or Activate for next season, then note the licence fees.

Click Create license. Swiss Tennis assigns the number; a message confirms the creation or explains the refusal (incomplete profile, licence already exists…). In that case, complete the profile with Open the profile and run the order again.

The record must contain the title (Mr or Ms, which gives the gender), date of birth, e-mail, phone number and address. Swiss Tennis writes to the licence holder in the language of their record: French, German, Italian or English.

Swiss Tennis first checks whether the person is already known to them, using last name, first name, date of birth and gender. If any of these four fields differs (typo, accent, middle name), Swiss Tennis does not recognise them and creates a new record: a duplicate. Check these fields before ordering.

Swiss Tennis charges the club licence fees (CHF 80.00 for an adult, CHF 50.00 for a junior, per licence period). Also check the date of birth: a person born on 1 January is flagged, because a wrong date would put them in the wrong age category.

4

Changing a licence's status

When the status can be changed, it is shown as a list: choose Active, Suspended or Deleted and confirm. The saving is shown on the row. The chips above the list filter active, suspended, deleted licences or those of another club.

A licence whose main licence is in another club is marked with a padlock: only the main club can change its status.

5

Updating the list and invoicing

Update licenses from Swiss Tennis replaces the list with the licences Swiss Tennis knows for the club's members. Swiss Tennis is queried for each member: this can take several minutes, keep the page open.

The box Invoice an item to licence holders adds an item to the licence holders' pending invoices. Choose the Item, then the People to invoice (Active licences of the club, Main licence in another club or Both groups) and click Invoice the item. Anyone already invoiced for this item in the last 6 months is skipped.

6

First setup and missing licence holders

A licence holder only appears in the list if Swiss Tennis finds them with exactly the same last name, first name, date of birth and gender as their Plugin record. People without a date of birth or with a placeholder date (01.01.1900) are not searched.

Before the first update, compare the list of licence holders in the Swiss Tennis administration (club/centre) with the Plugin records: last name, first name, date of birth and gender must be identical. Correct any differences in one system or the other, then click Update licenses from Swiss Tennis.

Swiss Tennis deletes duplicates created by a data-entry difference. After the next update, the person disappears from the club's list. Then correct their record in Plugin, or contact Swiss Tennis if the correction has to be made on their side, before ordering again.
