Messages and emails
History of sent emails
Find every group e-mail sent: recipients, sending status, read rate, resending.
Every group e-mail you send is kept in the history. You can see who it was sent to, whether it was successfully sent to each person and how many recipients opened it. This is also where you resend it or remove a recipient who is still pending.
1Open the history
In the left menu, open Messages then click Group e-mails archive. From the sending page, the button History also takes you there.
The list of e-mails sent, from newest to oldest.
- The field Search… finds an e-mail by its subject or date.
- The chips Last 7 days, Last 30 days, Last 12 months and All limit the list to a period.
- The column Recipients summarises each e-mail sent: the number of recipients, the number of e-mails still Pending, the percentage of e-mails opened, any errors and the number of attachments.
Three buttons are available at the end of each row:
- View details (eye icon): opens the e-mail in a side panel.
- Resend this email via the group email sending interface (arrow icon): opens the sending page with the same subject, message and recipients, which you can change before sending.
- Delete this e-mail (trash icon): only appears for e-mails sent today.
2View the details of an e-mail sent
The details of an e-mail sent: the message sent, then the read rate and the recipients.
The section Message sent shows the e-mail as it was sent, with its attachments, which you can open. The section Recipients gives the sending status for each person.
The table of recipients, with the export buttons.
- Sent on: the date and time it was sent. The badge Pending indicates an e-mail that has not been sent yet, and the badge Error an e-mail that was rejected (hover over it to see the reason, often an invalid address).
- Read?: the date on which the opening of the e-mail was detected.
- The buttons Print, Copy, Excel, CSV and PDF print or export the list.
- For an e-mail that is still pending, the trash icon Remove this recipient from the queue cancels its sending.
The read rate is only indicative. A read is only detected if the recipient displays the e-mail's images. Many mail apps block or pre-load them: an e-mail shown as unread may well have been read.
3The sending queue
Group e-mails are sent gradually: 25 e-mails every 15 minutes, all day long. As long as e-mails are waiting, a box shows how many at the top of the page, and the administration home page also shows it under To do. A large mailing to all members can therefore take several hours: this is normal.
A member says they did not receive your e-mail? Open the e-mail sent and look for their name in the table of recipients: you will see whether it was sent, to which address and at what time, or whether it was rejected.
