Manage members
Find and reactivate a removed member
A person no longer appears in the member list, but still exists elsewhere in the program: in hours to deduct, in invoices or in statements. This is the sign that their profile was removed, not deleted.
Why a profile becomes “removed”
The bin in the member list destroys nothing: it switches the profile to “removed”, which takes it out of the list and deactivates the account. It is the only thing that produces this state. No automatic process removes a profile, and a resignation date does not make it disappear either.
Not to be confused with the Active / Inactive badge, which only blocks access to the account and leaves the member in the list. See Edit and delete a member.
Find the profile
- In Members › Manage members, show removed members: they appear greyed out in the list.
- Or type the name in the search at the top of the page: it searches the whole club, members, inactive and removed.
- In the Add a member form, typing a former member's name directly offers to find their profile rather than creating a second one. This is the right way in: it avoids duplicates.
If the club uses the resignation date (or exit date) field, it holds the date of the day the profile was removed. It is the simplest clue to know when it happened.
Reactivate the profile
On the removed person's line, click the same button that removed them. The profile immediately becomes a member again and the account is reactivated.
What does not come back by itself
Reactivation restores the profile, but not what the removal took away.
At the time of removal, the program had:
- deleted their future bookings in the club;
- removed their unpaid membership fee lines from their open invoices, and their subscription if no paid fee line remained;
- taken the person out of their member groups and cancelled their ongoing tournament challenges;
- released any locker or numbered object in their name, and removed their ads published from the club.
However, their past invoices, their history and their hours to deduct are kept: this is why you still see them on these screens.
After reactivating the profile, check in this order: their season subscription, their membership fee, their future bookings, their groups and their locker, then recreate what is missing.
If two profiles were created for the same person, do not delete one of them: merge them, see Merge duplicate members.
