Managing families

Group the members of one family so that a single payer receives their invoices

A family is made up of a payer and the members linked to them: the payer receives the invoices for the whole family, and the family discount is calculated on this group (see Manage family discounts). The Families page shows existing families, suggests grouping the ones Plugin.ch spots and flags the families to fix.

Open it from the left-hand menu: Members, then Families. It is reserved for administrators of the Members module.

1Read the overview

Three tiles summarise the club: the number of families and linked people, the suggestions (families to group) and the families to check. Click a tile, or the chips Families, Suggestions and To check, to switch list. The Search a name… field filters the displayed list by last name, first name or e-mail.

The tiles and the list of families; the crown marks the payer.

In the Families list, each card shows the number of people and the members; the crown marks the payer. A family with a problem has a red badge, for example Payer missing.

2Group a suggested family

The Suggestions list brings together people who seem to belong to the same family. The chips sort them by confidence:

  • Certain: same name and same address;
  • Likely: same e-mail address or same phone number;
  • To confirm: same address, different names. They are only suggested if the group includes at least one minor and one adult, so as not to group the neighbours in the same building.

“Certain” suggestions: same name and same address.

The payer suggested is the oldest person; select the payer button of another person to change it. Untick a person to leave them out of the family. Then click Group and confirm. The already in a family badge marks a person who already belongs to another family.

If the suggestion is not a family, click Ignore: it is no longer suggested. The Show them again link, above the list, brings back the ignored suggestions.

When two people have the same first name, the card warns that it is probably a duplicate: merge the records instead with Manage duplicates.

3Fix the families to check

The To check list shows the families whose links have a problem:

  • Payer missing: the payer is no longer a member of the club (removed, not in this club or record deleted), so the invoices go to someone who is no longer there;
  • Chain: some members point to a linked member instead of the payer;
  • Minor payer: the payer is a minor;
  • Not the oldest: the payer is not the oldest person in the family.

Families whose payer is no longer a club member, with the suggested fix.

When a fix is possible, the card says so (for example “Suggested fix: … becomes the payer for the whole family.”). Click Fix and confirm to apply it.

4Edit a family

Click Manage on a family's card. The panel lists its members:

  • to change the payer, select Payer next to the right person, then click Change payer ;
  • Remove from family: the person will receive their own invoices from now on. If the payer leaves, the person selected as payer (otherwise the oldest) takes over the family;
  • Add a member: type at least 2 letters of the last name, first name or e-mail, choose the person and confirm. If they are the payer of another family, their linked members come along too.

A family's panel.

Invoices already issued do not change: only the next ones follow the new grouping.
