Managing units to be deducted: personalised hours and non-members

View and correct each member's remaining personalised hours and non-member invitations

1

What is this page for?

Some memberships include a number of units: personalised hours (a 10-hour membership, for example) or invitations of non-members, free or paying. Each booking deducts these units. The page Manage units to be deducted shows what each member has left and lets you correct it.

Open it from the left-hand menu: Members › Manage units to be deducted. It covers the sport-seasons running on the date chosen at the top of the screen.

Reading the overview per sport

The table Overview per sport totals, for each sport-season, the number of members (removed ones apart, in small print), the personalised-hours members, the remaining units, the members whose card is used up (À la carte at 0) and the remaining paying and free non-members. Click a sport or Details to show its list.

Correcting a member's units

In the Per sport view, choose the sport-season in the menu and find the member with Search… or the chips Member status (All, Active, Inactive, Removed). The columns Personalised, Paying non-member and Free non-member can be changed directly: type the new number, it is saved immediately.

The Per member view shows one row per person and one column per sport-season: remaining personalised units (clock) or remaining paying non-members, then, after the slash, the remaining free non-members. Click a cell to open that sport and change the numbers.

Reloading all the units of a sport

The buttons of the Per sport view act on all members of the chosen sport-season, after confirmation:

  • Reset paying non-members to 0: resets each member's paying and free non-members to the number provided by their membership (fresh start, for example after invoicing the guests);
  • Reset personalised units to 0: resets the personalised units to the number of hours of the personalised membership;
  • Update non-members: recalculates the non-members used from the bookings made since the last guest invoice.

⚠️ Note

These three buttons change the counters of all members of the sport-season and cannot be undone. First export the list (Excel or CSV) to keep a record of the current values.

Carry units over to the next season

At the end of a season, you can carry the units your members had left over to the new season. In the Per sport view, choose the sport-season that should receive the units, then click Carry over from another season.

In the Carry units over from one season to another :

  1. in Carry over from season, choose the source season, usually the one that has just ended. If it has not ended, a message warns that anything still booked in it will not be carried over: run the carry-over again after it ends;
  2. in What is carried over, turn on the types of units to carry over (Paid units, Pay-as-you-go units, Free units) and choose the subscriptions concerned for each. It is the member's subscription in the new season that counts; other members keep their current values;
  3. click Simulate to see, without saving anything, the number of members changed and the details per member: units from the old season, units already used in the new one, current value and new value;
  4. click Apply carry-over and confirm: the current values are replaced.

Units already used in the new season stay deducted: a member who has already booked gets nothing back. You can run the carry-over again safely, it gives the same result. The carry-over is done sport by sport.
